Provide administrative support to Site Head and other Senior Leadership Team Members with exposure to confidential/sensitive information. Under general direction, this high-profile position provides a wide variety of support using exceptional computer, communication, judgement, and organization skills. Requires global interaction and exposure to senior levels of the organization and external customers.

Essential Duties and Responsibilities

  • General office duties including mail distribution and shipments, taking meeting minutes, compiling data for reports, creating presentations, proofreading and editing documents, filing, and ordering supplies
  • Support functional leaders with specialized and ongoing tasks
  • Schedule meetings including proactively arranging rooms, equipment, and refreshments
  • Coordinate schedules and assist in managing time of others
  • Create domestic & international travel arrangements
  • Input and track monthly departmental budget
  • Prepare expense reports and manage department purchases
  • Involvement with project management/event coordination
  • Create/prepare correspondence and complex presentations
  • May support staffing activities including interview scheduling, onboarding, and transfers
  • Participation on project teams
  • Assist with external regulatory inspections and audits
  • Support team engagement efforts and assist with event planning
  • Manage sensitive and confidential information.

Qualifications

  • Taking initiative, using good judgment, understand deadlines, and carrying multiple projects through to completion with an ability to work independently under general direction.
  • Ability to prioritize workflow, multi-task, and manage time effectively
  • Advanced proficiency in Microsoft Suite (Word/Outlook/Excel/PowerPoint) is required
  • Detail oriented, with a high level of accuracy
  • Strong communication skills, both written and verbal, in order to effectively communicate in a complex environment
  • Flexible and adaptable to changing priorities
  • Willing/able to work occasionally in controlled manufacturing environment where Good Manufacturing Practices are followed.

Education and/or experience

  • High school diploma or equivalent required; Higher level degree preferred.
  • Minimum 2-4 years of experience.
  • Complex project management experience preferred

Physical Demands

  • Must be able to lift, push, pull and carry up to 20 lbs.
  • In general, the position requires a combination of sedentary work and walking around observing conditions in the facility.
  • General office environment.
  • Must be able to work overtime as required.
  • Inside working conditions

Working Environment

  • Must be able to work in controlled environments requiring special gowning - required to follow gowning requirements and wear protective clothing over the head, face, hands, feet and body
  • No make-up, jewelry, contact lenses, nail polish or artificial fingernails may be worn in the manufacturing environment
  • Will work in a cold, wet environment and some clean room and cool/hot storage conditions
  • Must be able to work multiple shifts, including weekends and overtime
  • May be required to work in a confined area.
